Who we are

KeepBill (“we”, “us”) provides shop billing, ledger, and related communication tools for businesses in India. For privacy questions, contact keepbillsupport@gmail.com.

Information we collect

Account and identity

• Mobile phone number used to sign in (OTP via Firebase Authentication).
• Name and shop profile details you provide (shop name, address, GSTIN where entered).
• Role within a shop (owner, manager, or staff).

Business and billing data

• Invoices, line items, tax calculations, payments, stock movements, customer and supplier records, and ledger entries you create in the product.
• Optional media you upload (for example bill scans) when you use those features.

Device and notifications

• Device tokens for push notifications (Firebase Cloud Messaging) when you enable them on a supported device.
• Basic technical logs (timestamps, request IDs, error diagnostics) needed to run and secure the service.

Messaging

• If you link WhatsApp or use WhatsApp-related features, we process the phone numbers and message content required to deliver those features through Meta’s WhatsApp Business Platform, subject to Meta’s terms.

How we use information

• Provide and improve the KeepBill product for your shop.
• Authenticate you, prevent abuse, and keep accounts secure.
• Send transactional messages (for example OTP, invoices, or in-app / push announcements you choose to receive).
• Comply with law and respond to lawful requests.

We do not sell your personal information. Shop billing data is used to operate your account and is not used to advertise unrelated third-party products.

Processors and third parties

We use trusted processors to run the service, including:

• Firebase / Google Cloud — authentication, optional storage, and push notifications.
• Hosting and infrastructure providers for the API and apps.
• Meta (WhatsApp) — when you use WhatsApp messaging features.

These providers process data under their own terms and only as needed to provide their services to us.

Retention

We retain account and shop data while your account is active and as needed for backups, dispute resolution, and legal obligations. You may request deletion as described on our Data deletion page.

Security

We use industry-standard measures such as TLS in transit, access controls, and shop-scoped data isolation in our backend. No method of transmission or storage is perfectly secure; please protect your phone and OTP access.

Your choices

• Update shop profile and member access inside the app.
• Disable push notifications in device settings or by removing the device token.
• Request access, correction, or deletion by emailing keepbillsupport@gmail.com.

Children

KeepBill is intended for business use by adults. We do not knowingly collect personal information from children.

Changes

We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of the service after an update means you accept the revised policy.
